This User Level Consent Agreement ("Agreement") governs the collection, use, disclosure, storage, transfer, and processing of personal data by Force7 Labs Pte Ltd ("Force7", "we", "us", or "our") through the Kineo Web Portal ("Portal").
The Portal is an enterprise management platform used by authorised management personnel to monitor sales performance, branch productivity, sales leads, order bookings, inventory, employee productivity, business KPIs, reports, workflow approvals, and AI-assisted business insights.
This Agreement applies to:
• Personal Data provided by you as a management user ("Your Data");
• Personal Data and business information accessed, viewed, processed, approved, analysed, exported, or managed by you through the Portal ("Business Data");
• Personal Data relating to employees, salespersons, customers, leads, or other individuals displayed within or processed through the Portal ("Third-Party Data").
By accessing or using the Portal, you ("User", "you", or "your") acknowledge that you have read, understood, and agree to this Agreement, the Force7 Kineo Web Portal Privacy Notice, and the applicable Terms of Use.
1.1 Management User means an authorised individual using the Portal on behalf of a customer organisation, including Directors, Executives, Senior Management, Regional Managers, Area Managers, Branch Managers, Sales Managers, Operations Managers, Business Administrators, Supervisors, or other authorised users.
1.2 Customer Organisation means the organisation that has subscribed to or authorised access to the Portal.
1.3 Employee Data means personal data relating to employees, salespersons, agents, contractors, or representatives whose performance, activity, productivity, or operational information may be displayed within the Portal.
1.4 Customer / Lead Data means personal data relating to customers, prospects, leads, or other third parties processed through the Portal.
1.5 Business Data means sales, branch, inventory, order booking, productivity, workflow, operational, financial, customer, lead, employee, KPI, analytics, and reporting information processed through the Portal.
Force7 collects and processes Personal Data and Business Data for the following purposes:
2.1 For Management Users
• Verifying your identity and managing your account;
• Managing role-based access permissions;
• Providing access to authorised dashboards, reports, workflows, and analytics;
• Monitoring Portal usage, activity logs, and security events;
• Supporting management reporting and operational decision-making;
• Providing technical support and troubleshooting;
• Improving Portal functionality, usability, performance, and security;
• Enabling audit logs, compliance monitoring, and governance.
2.2 For Business Data, Employee Data, Customer Data, and Lead Data
• Displaying sales performance and productivity information;
• Monitoring branch, regional, area, and salesperson performance;
• Reviewing sales leads, order bookings, and conversion performance;
• Monitoring inventory and business KPIs;
• Supporting workflow approvals and management actions;
• Generating reports, dashboards, forecasts, and AI-assisted insights;
• Supporting customer relationship, sales, operational, and business management activities;
• Enabling authorised exports and business reviews.
Depending on your role and the Customer Organisation’s configuration, the Portal may process:
3.1 Management User Personal Data
• Name;
• Business email address;
• Business phone number;
• Job title;
• Department;
• Organisation name;
• Employee ID or user identifier;
• Assigned role and permissions;
• Login credentials;
• Login history;
• IP address;
• Browser and device information;
• Usage activity;
• Report access history;
• Workflow approval history;
• Communications with Force7 support.
3.2 Employee and Salesperson Data
• Name;
• Employee ID or salesperson identifier;
• Branch, region, or area assignment;
• Sales activity;
• Lead follow-up activity;
• Productivity metrics;
• Order booking information;
• Performance indicators;
• Task completion status;
• Activity logs;
• Other work-related performance information.
3.3 Customer and Lead Data
• Name;
• Contact details;
• Address or location information;
• Product interests;
• Sales interaction history;
• Lead status;
• Order booking information;
• Communication history;
• Financing or dealership interaction data, where applicable;
• Other business-related information entered into or integrated with the Portal.
3.4 Business and Operational Data
• Sales dashboards;
• Branch performance;
• Inventory status;
• KPIs;
• Forecasts;
• Reports;
• Analytics;
• AI-generated recommendations;
• Workflow approvals;
• Exported reports;
• Configuration and administration records.
By accessing or using the Portal, you acknowledge and agree that Personal Data and Business Data may be processed as described in this Agreement.
Force7 processes data on the following bases, where applicable:
• Contractual Necessity: To provide the Portal and related services to you and the Customer Organisation.
• Consent: Where consent is required for specific processing activities.
• Legitimate Interests: For service improvement, security, analytics, compliance, and business continuity, provided such interests do not override applicable data protection rights.
• Legal Obligation: Where processing is required to comply with applicable laws.
• Customer Instructions: Where Force7 acts as a data processor on behalf of the Customer Organisation.
The following processing is necessary to provide the Portal:
• Account creation and user authentication;
• Role-based access control;
• Dashboard and report access;
• Workflow approvals;
• Audit logging;
• Security monitoring;
• Activity logging;
• Storage and processing of Business Data;
• Generation of reports, analytics, and AI-assisted insights;
• Technical support and troubleshooting.
If you do not agree to this core processing, you may not be able to access or use the Portal.
Where applicable, separate consent may be requested for optional activities, including:
• Receiving product updates or marketing communications;
• Participation in research, pilot, beta, or product improvement programmes;
• Use of anonymised or aggregated data for benchmarking or product analytics;
• Sharing information with third-party business partners where not required for core service delivery.
You may withdraw optional consent at any time by contacting Force7 at admin@force7.ai or by using available preference settings.
Where you access, upload, approve, process, export, or otherwise handle Personal Data relating to employees, salespersons, customers, leads, or other individuals, you acknowledge that:
• The Customer Organisation is responsible for ensuring that all necessary notices, consents, and lawful bases have been obtained;
• You are authorised by the Customer Organisation to access and process such data;
• You will only use such data for authorised business purposes;
• You will not disclose such data to unauthorised persons;
• You will comply with applicable data protection, confidentiality, and organisational policies.
You agree to immediately notify Force7 or the Customer Organisation if you become aware of any unauthorised access, disclosure, misuse, or suspected data breach.
Personal Data and Business Data may be disclosed to:
• The Customer Organisation;
• Authorised administrators of the Customer Organisation;
• Customer Organisation affiliates, business partners, and service providers where authorised;
• Force7’s cloud, hosting, analytics, security, customer support, and technology service providers;
• AI infrastructure providers supporting Portal functionality;
• Regulatory, governmental, or law enforcement authorities where required by law;
• Professional advisers, auditors, or legal representatives;
• A successor entity in connection with a merger, acquisition, restructuring, financing, or sale of assets.
Force7 does not sell Personal Data.
Personal Data and Business Data may be transferred to or processed in jurisdictions outside Singapore or outside your country of residence.
Force7 will take reasonable steps to ensure that such transfers are protected in accordance with applicable data protection laws, including the Personal Data Protection Act 2012 of Singapore where applicable.
Personal Data and Business Data will be retained only for as long as necessary:
• To provide the Portal;
• To comply with legal and regulatory obligations;
• To meet contractual obligations;
• To support security, audit, troubleshooting, and governance purposes;
• To resolve disputes or enforce agreements;
• As instructed by the Customer Organisation.
Upon termination of access, your account may be disabled. Certain information, including audit logs and security records, may be retained where required for legal, compliance, security, or legitimate business purposes.
Force7 implements commercially reasonable technical and organisational safeguards to protect Personal Data and Business Data, including:
• Access controls;
• Secure authentication;
• Encryption in transit;
• Encryption at rest where appropriate;
• Audit logging;
• Security monitoring;
• Backup procedures;
• Vulnerability management;
• Administrative controls.
No internet-based service can be guaranteed to be completely secure.
Users are responsible for protecting their own login credentials and authorised access.
12.1 You may withdraw optional consents at any time by contacting admin@force7.ai or using available system settings.
12.2 Withdrawal of consent does not affect processing that occurred before withdrawal.
12.3 Withdrawal of consent for core processing may result in your inability to use the Portal, as such processing is necessary for service delivery.
12.4 Where Force7 processes data on behalf of the Customer Organisation, certain requests may need to be directed to the Customer Organisation.
Subject to applicable law, you may request access to or correction of your Personal Data.
Requests may be made by contacting admin@force7.ai.
Where Force7 acts as a data processor, we may refer your request to the Customer Organisation for handling.
Force7 will respond to requests within a reasonable timeframe and in accordance with applicable law.
The Portal may use cookies, web beacons, browser storage, log files, and similar technologies to:
• Enable login sessions;
• Maintain user preferences;
• Improve user experience;
• Analyse usage patterns;
• Support security monitoring;
• Detect unauthorised activity;
• Collect performance and error information.
You may control certain cookies through your browser settings. However, disabling essential cookies may affect Portal functionality.
The Portal may use AI-assisted features to generate:
• Forecasts;
• Productivity insights;
• Sales recommendations;
• Performance indicators;
• Operational suggestions;
• Business summaries;
• Risk indicators;
• Management alerts.
AI-assisted outputs are generated from available data and statistical models.
They are intended to support management decision-making and should not be treated as final decisions.
Force7 does not use AI to make decisions that produce legal or similarly significant effects on individuals without appropriate human review.
Management users remain responsible for reviewing AI outputs and exercising independent professional judgement.
You are responsible for:
• Maintaining confidentiality of your login credentials;
• Accessing only information you are authorised to view;
• Using Portal data solely for authorised business purposes;
• Protecting downloaded or exported reports;
• Ensuring that reports are shared only with authorised persons;
• Complying with Customer Organisation policies;
• Complying with applicable data protection laws;
• Immediately reporting unauthorised access, misuse, or suspected data breaches.
Business Data and reports accessed through the Portal may be classified as Confidential, Internal Use Only, Restricted, or otherwise sensitive by the Customer Organisation.
You agree to handle such information in accordance with the Customer Organisation’s confidentiality and information security policies.
Force7 does not determine the classification of Customer Organisation data.
Force7 may update this Agreement from time to time.
Material changes will be notified through the Portal or by email at least fourteen (14) days in advance, where practicable.
Continued use of the Portal after the effective date of any updated Agreement constitutes acceptance of the revised Agreement.
This Agreement shall be governed by and construed in accordance with the laws of Singapore.
